Deployment of AI Ambient Transcription Technology (Heidi AI) To ensure our clinicians can focus entirely on your physical assessment and treatment rather than typing on a computer screen, our clinic utilizes an advanced clinical AI transcription assistant called Heidi AI. - Verbal Notice & Mic Controls: The practitioner will explicitly request your verbal permission before activating the secure microphone at the start of any appointment. - Immediate Recording Deletion: The tool listens in real-time to generate a text-based draft of clinical notes, after which the audio recording is completely and permanently deleted immediately. - Zero long-term AI Training: No audio is ever saved, and no clinic data is ever utilized to train long-term global AI models. - Storage and Choice: All generated text data resides on secure servers located within Canada (Quebec region). Use of this tool is entirely voluntary, and you may request the microphone be turned off at any moment without any impact on your care. 7. Clinical Data Retention and Safeguards All medical charts are stored electronically within our privacy-compliant Jane App infrastructure, utilizing encrypted transmission pathways. In strict conformance with Alberta regulations, your health files are safely retained for a minimum period of 10 years past your last visit (or 10 years past a minor patient's 18th birthday) before undergoing certified cryptographic wiping or high-security physical shredding. PART C: YOUR RIGHTS & CONTACT INFORMATION 8. Accuracy, Access, and Your Rights Under Alberta PIPA and the HIA, you have explicit rights regarding your personal and health data: - Right to Access: You may formally request a copy of the personal or health records we hold about you.
